CareScope 360 — the compliance software suite for senior living

Delegate with confidence.
Know exactly where every delegation stands.

Delegation is where CareScope 360 starts. It's the first module in a growing compliance-tracking suite — built around the nurse who holds it all together. Every delegation is digitally signed, supervised, current, and provable using efficient dashboards and automation.

Your nurse gets time back. Your residents get their nurse back. Your community gets the census and acuity growth that affect the bottom line — and the survey confidence of knowing you're ready at a moment's notice, thanks to CareScope 360.

  • HIPAA compliant
  • Multi-Factor Authentication (MFA)
  • Federally recognized digital signatures
  • 7-year tamper-evident records

What CareScope offers

More capacity One RN can confidently oversee more delegated residents
Fewer gaps Expired and missing delegations caught before they become survey findings — or costly fines
Room to grow Growing census and acuity becomes a viable option for your organization

Every community is different — we'll model what this looks like for yours in a walkthrough.

One platform, three promises

When the nurse wins, everyone wins.

For the delegating nurse

Delegation paperwork follows nurses home — to the kitchen table, to the weekend, to the back of the mind. CareScope 360 turns hours of forms, tracking spreadsheets, and "did I renew that?" worry into minutes of guided, signed, done. The clinical judgment stays with the nurse. The paperwork doesn't.

For the residents in their care

Every hour a nurse isn't buried in delegation paperwork is an hour back with residents and staff. Caregivers work from clear, current delegation instructions and documentation approved by the nurse. Residents receive safe, documented, and consistent care. It's a culture of service, built on documentation the whole team can trust.

For the community's bottom line

A nurse with capacity is a community with capacity. When delegation is managed instead of improvised, communities gain the confidence to admit and support residents who require delegation without adding unnecessary administrative burden to the nurse. Delegation stops being the reason a community says no to a resident. And because the documentation stays survey-ready, delegation never has to become a costly surveyor finding.

The problem nobody budgets for

The time and money quietly lost to delegation

In most communities, one nurse is the entire delegation program: assessing the resident, training the caregiver, writing the delegation, filing it, calendaring the renewal, re-doing all of it when a med tech leaves — and answering for every page of it when the surveyor arrives.

  • ~20 minutes a week, per delegated resident of oversight, tracking, and documentation upkeep.
  • ~2.5 hours of paperwork for every new delegation — often finished after the shift ends, because the shift didn't have room for it.
  • Every caregiver turnover restarts the clock — new training, new delegations, new signatures, same nurse.

Delegation isn't the problem. The paperwork is. CareScope 360 was built — by a nurse — to take the administrative weight off the license without taking the clinical judgment out of the nurses' hands.

The delegation module

Everything in one signed record

Clear documentation is the foundation of safe delegation. CareScope 360 keeps all assessment and delegation documentation complete, current, and organized. When management or a surveyor asks to see it, it's already at your fingertips.

01

One signed source of truth

Every delegation lives in one complete record — from assessment and training to supervision and renewal. Electronic signatures are built in, documentation stays organized, and every version is easy to find. No loose forms. No missing pages. No "I think it's in the binder."

02

Deadlines that watch themselves

Initial authorizations, reauthorizations, and assessment intervals are tracked automatically, with alerts at 14 and 7 days and an escalation chain if something sits. Nothing quietly lapses — so no resident's care is ever running on an expired authorization.

03

A dashboard that reads the building

One glance shows what's expired, expiring, awaiting signature, or sitting in draft — for one community or an entire portfolio. Instead of discovering problems during survey, nurses and leaders can identify risks early, prioritize follow-up, and keep delegations current.

04

State rules, already in the workflow

Delegation criteria, authorization timelines, and task restrictions for the states we serve are built into the forms themselves — with the regulatory citation attached. Live today for Oregon, with Washington underway and more states to follow. If a rule says a task can't be delegated, the system says so before anyone signs.

05

Audit-ready isn't a season

Every action — create, sign, print, rescind — is captured in a tamper-evident audit trail and retained for seven years. When the surveyor asks who trained the caregiver and when, the answer is ready before they finish the question.

Security & compliance

HIPAA compliant, down to the signature

CareScope 360 manages protected health information, electronic signatures, and audit records every day. Security, privacy, and compliance are built into the platform from the start.

HIPAA compliant

Resident health information is protected the way HIPAA requires — encrypted in transit and at rest, with role-based access and activity logging throughout the platform. Every community receives a signed Business Associate Agreement (BAA).

Federally recognized digital signatures

Every delegation is executed with digital signature technology that is legally binding under the federal E-SIGN Act and state UETA statutes — the same legal standing as ink on paper. Each signature is attributed to the signer, time-stamped, and sealed in an encrypted tamper-evident digital "envelope."

Records that hold up

Every action lands in a tamper-evident audit trail retained for seven years. When a surveyor — or a lawyer — asks for the record, you produce it in seconds, exactly as it was signed.

Have a security questionnaire or a BAA to review? Bring it to the walkthrough — we like those questions.

The business case

An RN with room to nurse is an organizational advantage

Delegation capacity influences census capacity. When nurses spend less time managing paperwork, renewals, signatures, and tracking deadlines, they have more time to support residents, staff, and admissions. Communities gain greater confidence to admit and support residents who require delegation — turning opportunities that may have felt operationally difficult into opportunities they can confidently accept.

  • Say yes to more admissions. Residents who require delegation often represent both a care opportunity and a business opportunity. CareScope 360 helps remove the administrative load associated with delegation, making it easier to support higher-acuity residents while maintaining organization, documentation, and oversight.
  • Reduce compliance risk. Expired delegations, missed renewals, and incomplete documentation create unnecessary survey risk — and the expensive surveyor findings and fines that can follow. Continuous tracking, automated alerts, and centralized records help communities identify problems early — before they become survey findings.
  • Support nurse retention. Delegation is important work, but the administrative burden can contribute to frustration and burnout. By simplifying delegation management, CareScope 360 helps nurses spend less time chasing paperwork and more time supporting residents and staff.
  • Pricing that scales. Simple pricing based on delegated residents. No user licenses. No per-seat pricing. No surprise line items.

Who's behind it

Built by a nurse who's lived the delegation binder

CareScope 360 wasn't built by a software company looking for a healthcare market. It was built by people who understood the problem first — then built the software to solve it.

CareScope 360 was founded by Kevin MillsKevin Mills, RNKevin has a degree in Nursing and Physiology from the University of Oregon, as well as a degree in Anthropology from Oregon State University. He built his career in senior living clinical leadership, compliance, and consulting.

As an approved nurse consultant for the State of Oregon, Kevin worked with assisted living and memory care communities facing regulatory challenges. He helped facilities develop plans of correction, respond to state findings, improve compliance systems, and navigate the realities of survey. Over the years, he reviewed countless delegation records, incident reports, and compliance findings, seeing the same problems surface again and again.
(COO), an RN with years of compliance consulting experience inside senior-living communities — and Brendan O'MaraBrendan O'MaraBrendan has a degree in Computer Science and brings the entrepreneurial and software-development expertise behind CareScope 360. A small business owner and software developer with an electrical-engineering background, he has started a handful of product and service companies over 25 years as an entrepreneur.

As the son of a nurse, he's become fully aware of the demands healthcare places on the nursing community — the endless stress and the severe shortage of nursing staff available to handle the critical tasks the industry depends on. That drives his focus on building healthcare systems that solve real-world problems by reducing the time and energy demanded of critical staff.
(CEO), the entrepreneur son of an RN, who uses his knowledge and appreciation for the industry to build products and services that solve problems. Together, they created CareScope 360 with a simple goal: make compliance tasks easier to manage, easier to defend, and easier to sustain for RNs, staff, and the facility. More than software, CareScope 360 is a commitment to a culture of documentation and service — where clear, current records protect the nurse, the resident, and the community alike.

"Compliance only works when responsibilities are delegated clearly and carried through consistently."
